Since many services involve time-sensitive work and government-related procedures, refunds are evaluated based on the stage of the engagement and the work already completed.

2. Cancellation of Services

Clients may request cancellation of a service by contacting our support team through the registered email address, phone number, or other official communication channels.

Cancellation requests should include sufficient information to help us identify the engagement, including:

  • Client Name
  • Registered Mobile Number
  • Registered Email Address
  • Business or Entity Name (if applicable)
  • Service Requested
  • Reason for Cancellation

Cancellation requests are subject to review based on the progress of the engagement.

3. Refund Eligibility

Refund requests may be considered if the cancellation request is received before substantial work has commenced.

Each request is reviewed individually, taking into account factors such as:

  • Work completed by our team
  • Documentation prepared
  • Professional consultation provided
  • Third-party costs incurred
  • Government processes initiated

Approval of refunds remains at the sole discretion of Cotaxo based on the specific circumstances of the engagement.

4. Non-Refundable Charges

The following charges are generally non-refundable once incurred on behalf of the client:

  • Government fees and statutory charges
  • Stamp duty and registration charges
  • Digital Signature Certificate (DSC) charges
  • Professional certification or notarization charges
  • Third-party service charges
  • Expenses paid to government departments or regulatory authorities
  • Any other costs incurred specifically for the client’s engagement

These charges are non-recoverable once paid and therefore cannot be refunded.

5. Refunds After Work Has Commenced

If a cancellation request is received after work has begun, any refund, if approved, will be determined after considering:

  • The stage of service completion
  • Time spent by our professionals
  • Documentation prepared
  • Third-party expenses
  • Government fees already paid
  • Administrative costs incurred

Where applicable, only the remaining balance after deducting the above costs may be considered for refund.

6. Service Quality Concerns

If you believe that the service provided does not meet reasonable expectations, we encourage you to contact our team with complete details of the concern.

Where appropriate, Cotaxo may, at its discretion:

  • Review the engagement
  • Provide clarification or guidance
  • Rectify documentation-related issues
  • Reprocess eligible submissions where feasible
  • Offer any other reasonable resolution based on the nature of the concern

Our objective is to resolve genuine service-related concerns in a fair and professional manner.

7. Situations Where Refunds May Not Be Available

Refund requests may not be accepted under circumstances including, but not limited to:

  • Submission of applications to government authorities or regulatory departments.
  • Completion of the agreed scope of work.
  • Delays caused due to incomplete, inaccurate, or delayed information provided by the client.
  • Delays resulting from government departments or regulatory authorities.
  • Change of mind after substantial work has been completed.
  • Services specifically communicated as non-refundable before commencement.

8. Refund Processing

If a refund request is approved, the refund will generally be processed through the original payment method or another mutually agreed method, wherever applicable.

The processing time may vary depending on banking procedures, payment methods, and administrative requirements.

9. Modification of this Policy

Cotaxo reserves the right to amend, revise, or update this Cancellation & Refund Policy at any time without prior notice.

Any revised version will become effective upon publication on this website.
